Welcome to Emplora
Emplora is designed to streamline your workforce management. From your first login to managing real-time schedules, this guide covers everything you need to know.
Account Creation
To begin, register your account using your professional email. You will be prompted to verify your email address before accessing the dashboard. Once verified, you can create your first Organisation: the central hub for all your business locations and data.
The Onboarding Flow
After creating your organisation, our onboarding wizard will guide you through:
- Naming your first Location: typically a store, office, or branch.
- Setting Timezones: ensuring schedules align with local business hours.
- Defining Operating Hours: setting the default start and end times for your shifts.
The Sidebar & Navigation
The sidebar is your command centre. Depending on your role, you'll have access to various specialised applications.
Dashboard Overview
The main Dashboard provides a bird's-eye view of your labour costs for the current week, total scheduled shifts, and pending time-off requests. It helps you identify coverage gaps at a glance.
Location Switcher
If you manage multiple branches, use the Location Switcher in the top-left sidebar. This filters all apps (Schedule, People, Analytics) to only show data for the selected location.
Integrated Settings
Settings are context-aware. Individual apps like Schedule or Analytics have respective configuration panels in the Settings tab. Here you can adjust location-specific logic, currency formats, and automated budget notifications.
Mastering the Schedule
The schedule is where your team coordination happens. Emplora supports high-speed data entry and conflict detection.
Real-time shifts
Every shift you create or change is shared with the affected employee in real time. There is no draft state to remember to publish. Add a shift and the assigned employee sees it immediately on their portal and receives a notification.
The Shift Dialog
When creating a shift, you can define:
- Times: use quick-selection or manual entry for start and end times.
- Assignee: search and select an employee from the location's roster.
- Recurrence: set the shift to repeat weekly until a specific end date.
Drag-to-schedule
On weekly and monthly views, click-and-drag across days to select a range, then click Schedule Shifts in the floating bar. The shift dialog opens preconfigured for the dates you selected, so a recurring block can be built in two clicks.
Managing Your Workforce
The People app is your HR hub for onboarding and managing time off.
User Roles
Emplora uses two primary roles to keep permissions simple:
- Managers: can create schedules, manage location settings, and approve time-off requests.
- Employees: can view their own schedules, receive task notifications, and submit time-off requests.
CSV Bulk Import
To add your entire team at once, use the CSV Import tool. Download our template, fill in the Name, Email, and Role, and upload it. The system will automatically create profiles and generate temporary PINs you can hand out (or email if the row has an address).
Time-Off Requests
Requests appear in the Schedule › Time offqueue. Managers can view potential scheduling conflicts before approving. Once approved, the employee's availability is updated, and managers are warned if they try to schedule shifts during that period.
Invoices & Preferences
Manage your subscription and personal preferences in the account settings.
Subscription Plans
Visit Settings › Billing to manage your subscription. We use Stripe for secure payments, allowing you to download past invoices and upgrade or downgrade your plan as your business grows.
Profile Management
Update your personal details, change your profile picture, or reset your password in the Profile section. You can also configure your individual notification preferences here.
The Staff Portal
Employees have a focused, mobile-responsive view designed for clarity and speed.
Your Schedule
Staff members see a simple calendar of their assigned shifts. Real-time updates mean any change made by a manager appears instantly on their dashboard without needing a refresh.
Submitting Requests
Found a conflict? Employees can tap any date to submit a Time-Off Request. They will receive an in-app notification as soon as the manager reviews it.
Logout & Security
To ensure your data remains private, always use the Logout button found in the profile menu. Signing out will securely end your session and redirect you back to the Emplora Welcome Page, where you can log in again or return to the main website.
